Minutes from 3rd Organizational Meeting

3rd  Organizational Meeting

Present: Max, Jim, Sabrina, Brian, Tyler, Elle, Sephira. The meeting officially began at 11:30am.

Max began with a blessing/story, about how when starting a fire, one must pick the strongest pieces of wood first, and when these are going strong, add more and more.

He shared that while he was camping last weekend, there were two women who were trying to start a fire but couldn’t.  Max tried to help them but they were so convinced that it would never work, that their fire would begin and then go out again, whereas the fire Max and his family made stayed lit.

He felt this was an excellent example of the Law of Attraction at work, and hoped that we could all work together well, beginning a strong and enduring fire that could grow with our best intentions and with all of us working together.

Agenda Items:

1.  Galactic Languages:

– Max expressed that such a miracle is happening with new members               joining who already speak them and current members who speak them.

– He feels it is a shame if all the spontaneous hangouts where they are spoken are not recorded and asked that those managing the hangouts try and make sure they are.

– Jim asked Sabrina if all official and planned language gyms are recorded-they are.

2. Broadcasting Team, Video Editing and Hangouts:

-The hangouts need a coordinator to organize them in cooperation with other hangout managers, such as Franzicheck,  Sabrina and Hajjan, etc, and to record and host them.

-There are different types of hangouts-some are weekly events and official from the HC site, some are spontaneous and organized language gym

– Until further notice, Tyler will take this on, and Gordon will assist him, until he can find another person to take his place while he is already also taking in the Video Editing of all these broadcasts.

– Video Editing: Tyler, Slave and Justin are already doing video editing. If we have left any names out of those also helping, forgive me. It’s my notes and no offense is intended. Please feel free to add your name in comments below and I will add them here.

3. Welcome Team:  

– It was suggested that we have a welcome team instead of only a few members, so that letters of contact can be addressed by a team, who can respond together. It was not sure how this will work in practice as yet.

– Sephira, wishes to work with Education, but Jim suggested I stay with this team and possibly chair the education area when it is ready to be more developed.

– The welcome team is connected more to the website, to help new members find their place, answer letters from new or potential members, and overall to help members and new members feel at home.

– Sabrina will be heading up this team, and on the team with her will be Sephira. Sabrina also thinks that Rowie and Roxie have been doing a great job with this as well and should join the team.

4, Other Teams: -Applications-ExoWikiDev

– Peter is working on developing an app for the smartphone and has built a team for doing this.

– Gordon would like to work with him as well, but will also assist with the Broadcasting team

– Sabrina suggested that this team create samples of each galactic language.

– Gordon suggested enlarging that even more by offering a profile of the ETs and their cultures, portraits.

-Brian suggested we begin with the cultures and profiles/portraits of the members from GrkFitneer. 

– Sabrina said she has portraits but doesn’t know to which race they belong.

– Max, said we are missing portraits and we could ask our ET friends if we are allowed to draw some.

.5. Elections for Organizing Committee and Voting.   

 – Everyone who still wishes to nominate themselves for the Organizational Committee, has until Monday the 23rd to do so. After Monday, voting will begin to take place until Jul 3rd (10 days).

– Max shared that the voting system is now ready. He will try to arrange with Slava to allow each member unlimited amount of votes, so each member can vote for different people

–The top 80 percentile will serve on the Organizational Committee.

–This committee will chair and attend to the different teams, strategies and activities

6. Registration as a non-profit

– Everyone is still brainstorming as the what type of non-profit. Max would sort of like to make it a religious one, but many others think we shouldn’t do that.- they are donation based, a tax write off, and grants are often given to non-profits.

– Gordon gave a few tips on non-profits:

– He suggested that Deleware is the best state to register it in because they have the best State to pay the least taxes.

– Elle suggested making it an educational non-profit.

– Others suggested we make it a non-secular, meaning non-religious and open to all paths.

7. Miscellaneous

– Max suggested to create a special Google + Chat intended for hangout announcements only. (like Hucolo1, just purely for participation links and announcements).

– Jim suggested that we put a disclaimer on our group there that states that we do not necessarily endorse all opinions and videos presented by its members, while at the same time, we accept all points of views.

– Jim closed with a blessing and the meeting ended at 1:00pm EST.

    Setting up a Welcoming Committee group? Setting up a VERY obvious link to that group on the home page. As to be the first thing a new-commer sees to direct them straight to us instead of fumbling around the website
